Making a booking yourself
Bookings for the LEA may be made by – email, coming to the EPIC office, mail, or fax.
A booking will ONLY be made if ALL of the following are submitted:
-
Correctly filled in Application Form
-
Relevant supporting documentation as shown on the Application Form
-
Appropriate fee
A confirmed date will only be given once your application has been received and processed – allow seven working days for processing time. If you do not receive a confirmation letter from EPIC within that time, please call the office on (03) 9654 1299.
Sometimes circumstances arise which require a confirmed date to be changed. EPIC reserves the right to change dates as needed. Fortunately, this is a rare occurrence and you will be given as much notice as possible if this happens.
You may enter a preferred date for your assessment on the application form. SWP and LEPs are run three to four times a week, so it possible to get your preferred date or one very close to it if you send in your application at least one month in advance of your preferred date. LET assessments are usually held five times a week. These dates are published on our website.
Payment of fees
Fees can be paid the following ways:
-
Cash and EFTPOS - only by coming to the EPIC office
-
Credit card, cheque and money order payments – in person or by mail
If your company is paying for the assessment, your application must also have an Authority to Invoice (or similar) letter on company letterhead with a contact person and number clearly shown on the letter.
Bookings can be taken over the phone only if an exam has been sat before and payment is to be made by credit card. Appropriate documentation needs to be sited before this can be done.
Enquiries about available dates may be made on (03) 9654 1299 or through licensing@epicitb.com.
However, the date given is not a booking date. It only gives you an indication of the waiting time that exists AT THE TIME YOU CALL. The date changes minute by minute as completed applications are processed.
Making a booking through your college or RTO
Sometimes the RTO (Registered Training Organisation) you attend for an LEA Refresher Course is able to make a booking for the whole class. In such cases, the following procedures apply, depending on how your RTO likes to work:
Option A: RTO sends all applications
The RTO plans ahead to select a suitable assessment date in relation to the class finishing date. The RTO contacts EPIC to inform them of the desired assessment date and the number of people sitting. This must be done more than a month in advance of that date. EPIC confirms that date (or the closest one possible) to your RTO. The RTO assembles you and your classmates application forms, supporting documentation and fees and sends them to EPIC to arrive at least one month in advance of the desired assessment date. If the applications are received by EPIC at least one month in advance of the agreed date (you are now booked). If EPIC receives applications from your RTO with less than a month to go before the desired date, a new date for the assessment will most likely have to be arranged. Only places for the number of applications actually received before the one month deadline will be booked. Any unfilled places will become available to anyone.
Option B: you send the application
- The RTO plans ahead to select a suitable assessment date in relation to the class finishing date.
- The RTO contacts EPIC to inform them of the desired assessment date and the number of people sitting. This must be done more than a month in advance of that date.
- EPIC confirms that date (or the closest one possible) to your RTO.
- You will need to:
- fill in an application form
- gather the required supporting documentation (Form)
- decide on a payment method
- attach a completed Group Booking Form to your application
- bring or send the lot to EPIC at least one month in advance of the date the RTO has arranged
5. One month before the desired assessment date, EPIC administration will review the applications received. Only places for the number of applications actually received will be booked. Unfilled places will become available to anyone.
6. If you were late in taking advantage of the RTO booking date, you will need to make a separate booking yourself.
